Who Should Use This Checklist

If you're a hospital biomedical engineer, lab manager, materials manager, or surgeon who just learned that a critical piece of GE HealthCare equipment is down, this checklist is for you. I've been coordinating urgent equipment orders for hospitals and clinical labs for 11 years, and I've handled 200+ rush jobs in that time, including same-day turnarounds for operating rooms. When I'm triaging a rush order, the first question isn't price. It's: what's the actual deadline, and what has to happen by then?

Use this checklist for imaging systems, MRI coils, gel electrophoresis setups, energy devices in surgery, or any other medical hardware where a delay means a delayed procedure or a backlogged lab.

Step 1: Confirm Product, Legal Entity, and the Public Company

The first mistake I see is ordering from the first salesperson who says 'we have it in stock.' Before anyone talks price, confirm the legal entity on the paperwork.

Is GE HealthCare publicly traded? Yes. GE HealthCare Technologies Inc. has traded on Nasdaq under the ticker GEHC since the company spun off from GE in January 2023. That matters because the legal entity is what you'll see on a warranty, a W-9, and any compliance certificates.

Also check whether the product you need is actually produced by GE HealthCare today. Some older GE-branded life science equipment, for example gel electrophoresis systems, has moved to other manufacturers or service organizations over the years. A supplier may still list it as 'GE,' but the technical support and replacement parts might live elsewhere now. If you contact the wrong entity, you can lose two days before the order even moves. In my experience, that kind of trigger event is what pushes an urgent order into crisis mode.

Step 2: Verify Compatibility Before You Discuss Price

Once you know who makes it, confirm the specific configuration. This is the step that costs people the most money.

An MRI coil is a perfect example. A coil for a 1.5T magnet isn't necessarily compatible with a 3T system. Sometimes the connector matches, but the scanner software won't initialize it. I once saw a hospital pay $4,000 in rush shipping for a coil that couldn't start a scan because the part matched the model number but not the required software revision.

The same reasoning applies to energy devices in surgery. Generators, handpieces, vessel sealers, and cables are platform-specific. Don't ask 'do you have one?' Ask 'is this compatible with the exact generator model and firmware version?' If the person on the phone hesitates, that's a red flag.

For a gel electrophoresis system, compatibility may be about voltage, cooling, and the chemistry you're running. For an MRI coil, it's about channels, connections, and software. The lesson? Get the exact part number and the system's current software version before you compare quotes.

Step 3: Check Compliance Before You Sign

Compliance isn't the fun part, but it's the part that can get patient safety leaders in trouble. For medical devices sold in the U.S., the FDA Quality System Regulation (21 CFR Part 820) requires manufacturers to have purchasing controls. In Europe, EU MDR 2017/745 and ISO 13485 create similar duties for anyone putting a device into service.

For GE HealthCare compliance documents—including declarations of conformity, FDA clearance letters, and UDI information—make sure your vendor can send them before shipment, not after. Otherwise, your biomed team may receive the device but have to hold it in quarantine until the paperwork catches up.

Here's the short compliance list I use:

  • Is the item registered or cleared for sale in your country?
  • Does the quote include the required UDI or regulatory identification?
  • Is the vendor an authorized distributor for the actual manufacturer of record?
  • Will installation and service be performed by someone with access to the original documentation?

If a vendor can't answer those questions in writing, an extra day of shipping is cheaper than a non-compliant device sitting in the hallway.

Step 4: Calculate Total Cost, Not Just Invoice Price

Now we get to the opinion part. My view is clear: in an urgent equipment purchase, the cheapest quote is often the most expensive decision you'll make all quarter.

I learned this the hard way. We once saved $300 on a 'compatible' MRI coil from a third-party seller. Then we spent $1,800 on service calls, repeat scans, and an extra 72 hours of downtime. That $300 saving wasn't a saving. It was a fee.

Total cost of ownership is a better lens. Include the base price, freight, customs, installation, validation, training, service response times, and the cost to your clinical schedule if the equipment doesn't work on arrival. For energy devices in surgery, add reprocessing costs and the lifecycle of cables and handpieces. For gel electrophoresis systems, add the time it takes your lab staff to re-run a failed gel.

A more expensive vendor can still be the cheaper option if they ship the right thing, on time, with the right documentation.

Step 5: Lock Down Timelines, Acceptance, and Support in Writing

Finally, lock down the terms in writing. I do not want to rely on verbal promises for equipment that will be used on a patient or a critical diagnostic sample.

I only believed in written commitments after a vendor promised a Friday delivery and showed up Tuesday. That was not a proud moment. Since then, my rule is simple: if it's not in the purchase order, it doesn't exist. Don't hold me to the exact legal language, but get these four things, at minimum:

  1. A confirmed delivery date and time window.
  2. The name of the person responsible for expediting.
  3. What happens if the first unit fails acceptance testing.
  4. Who pays for return shipping and restocking if the wrong item is sent.

In an emergency, you may not get everything you want. But writing down the contingency plan helps everyone in the chain see the consequences of a missed deadline. Sometimes that's enough to avoid one.

Common Mistakes I Keep Seeing

The most frustrating part of this work is that the same mistakes keep coming back. Here are the ones I'd love to eliminate:

  • Ordering by brand name instead of part number and software revision. A 'GE MRI coil' can mean multiple different products.
  • Skipping the compliance check because you're in a hurry. That's exactly when the paperwork problems show up.
  • Choosing a vendor based only on price, without including the cost of failure. The lowest quote has cost me more in enough cases that I no longer trust it.

As of early 2025, the information above reflects what I tell my clients when they call in a panic. But the regulations and product landscape change fast. Verify the current requirements—especially FDA clearance status and the manufacturer of record—before you commit. Prices, shipping times, and service arrangements should also be re-confirmed at the moment of ordering.
